A useful factory quotation should identify one product and one shipment scope that the importer can classify, compare, approve and inspect. The request should state the buyer company, importing entity, sales channel, exact product category and model, quantity by model, electrical configuration, Spanish artwork requirements, individual and master-carton packing, destination port, trade term and inspection route. This prevents a photo price from being compared with a complete OEM order that includes different components, labels and commercial responsibilities.

Before selecting a model, identify the legal importer and the final sales channel. Colombia's VUCE import module is used for electronic processing of import registrations and licenses for goods subject to prior requirements, permits or authorizations. The importer should determine whether the exact product and tariff line require a VUCE process or another competent authority review. A model code should lead to a controlled specification covering construction, rated information, components that affect function, color, accessories, product label, manual, individual packing and master-carton identity. A photo, title or old catalog row does not control a purchase order. When source files conflict, the current sample and a signed specification should resolve the difference before the buyer accepts a price.
Repeat orders need the same discipline. Reference the last approved version and list every proposed change to the motor, heating system, PCB, cable, plug, battery, jar, basket, inner pot, packing or supplier. Review the change against applicable evidence and the inspection standard before production. This creates a traceable order instead of an unsupported promise that a familiar model name will always remain identical.
Do not apply one generic compliance statement to every appliance. Colombia's Ministry of Mines and Energy states that RETIE covers electrical installations and products used in electrical installations, and that products listed in the relevant product table are within scope unless an exception applies. The importer should review the exact appliance, components, intended use and current rule with a qualified Colombian conformity specialist. The official RETIE information is a starting point, not automatic proof for a model.
For the order file, state the required voltage, frequency, plug, cord, rated label and charging accessory. If the product contains a battery, record the manufacturer, battery model, capacity evidence, installation status, charging system and available transport documents. A battery capacity claim does not prove runtime, charging time or carrier acceptance.
Spanish packaging should be approved as a versioned file, not translated informally during production. The buyer supplies or approves the brand name, exact model, rated information, instructions, warnings, barcode, importer or distributor details, warranty contact, product label, manual, color-box dieline and master-carton marks. The factory can place approved content into the agreed format but should not invent legal claims, certifications or local contact information.
Every artwork file should show a revision number, date and authorized approver. Before printing, compare the released artwork with the signed product specification. During inspection, verify model identity, rated label, Spanish text, barcode readability, importer data, color box and carton mark against the same approved revision.
DIAN explains that customs treatment begins with the approved tariff classification and uses the customs value basis defined for the shipment. The buyer's landed-cost sheet should connect product cost, individual packing, master-carton quantity, carton dimensions, gross and net weight, order quantity, inland handling, freight, insurance, destination charges, applicable duties and taxes confirmed by qualified parties, local transport, inspection, finance and after-sales reserve.
Use current carton data. For mixed containers, reconcile units, cartons, CBM and weight by SKU and record any loading assumption. The inspection file should reference the purchase order, exact model, approved sample or specification, quantity, appearance, rated identity, plug or charging interface, accessories, basic function, Spanish artwork revision, barcode, packing, carton quantity and sampling rule. Add product-specific tests rather than copying one checklist across air fryers, blenders, fans and pumps.
Inspection photos and video should identify the order and version they support. Reconcile finished units, packed cartons and shipment quantities.
