When should cargo insurance and claim evidence be prepared?
Review the insurance arrangement before the shipment begins, not after damage appears. Confirm who purchases the cover, who is insured, what goods and route are described, where cover starts and ends, which exclusions and deductible apply, how a claim must be reported, and which documents or survey steps the insurer requires. Begin the evidence file before loading and continue it through destination receiving.

The International Chamber of Commerce explains that insurance obligations differ between CIF and CIP under Incoterms 2020. Buyers should still review the actual insurance document and named route instead of assuming that a three-letter trade term answers every coverage question.

Evidence Timeline
A strong transit-damage record begins before the container is closed
Freeze the approved packing unit
Keep the exact model, accessories, inner protection, carton version, labels and units-per-carton under revision control.
Record finished-carton condition
Capture representative cartons, marks, quantity, dimensions, weight and visible condition before loading.
Inspect the loading unit
Record container or vehicle condition, obvious moisture, contamination, holes or other exceptions before cargo enters.
Preserve the loading tally
Connect loaded cartons and SKU quantities to photos or video, container number, seal number and final packing list.
Check arrival before opening
Record container, seal, exterior condition and any delivery exception before breaking the seal or moving cargo.
Film the first opening and unloading
Capture the initial cargo position, visible movement, wet cartons, crushing, shortage or other exceptions continuously where practical.
Quarantine affected goods
Separate damaged cartons by SKU and severity, preserve packaging, avoid uncontrolled distribution and count unaffected stock independently.
Notify and follow the required process
Contact the insurer, broker, carrier and relevant parties promptly according to the policy, transport document and local advice.

A factory quality review should not be used to bypass carrier or insurance notice duties. Likewise, transport damage should not hide a genuine product defect. The buyer needs enough evidence to investigate both paths without double counting the same loss.
Mixed-Container Control
Mixed appliances require a damage map, not one general statement
A mixed container may combine high-volume air fryer cartons, tall fan cartons, heavy ceramic-hob cartons and smaller water dispenser pump cartons. Their packing structures and damage patterns are different. The receiving team should map the affected cartons to SKU, carton version, container position and observed condition.
