A standard showroom unit can confirm product direction and basic operation, but it may not match the destination plug, voltage, label, manual or OEM packing. A customized sample can provide stronger approval evidence, but it requires more files, coordination and time. The buyer and factory should identify which of the following routes applies.

What Makes Up the Sample Cost?

There is no reliable universal sample price. The cost depends on the exact product, availability, electrical version, OEM work, packing and delivery route. A low sample charge can still produce a poor decision if the unit does not represent the bulk order. Ask the supplier to separate or explain the following cost layers.

A useful timeline starts with a frozen sample requirement, not with an estimated courier date. Record each gate separately so a delayed approval is not confused with a delayed dispatch.

Courier and Receiving Control

The factory and buyer should confirm who chooses the courier, who pays freight, who provides the recipient tax or customs information and who handles destination charges. The recipient name, company, complete address, postal code, telephone and email should be checked before dispatch. Where the buyer uses a courier account, account authorization and billing rules should be confirmed by the account holder.

When the package arrives, photograph the outer carton before opening, record damage or missing items and keep the label and tracking reference. A damaged courier parcel does not automatically prove a production-quality problem. Separate transport damage from product, accessory or packing nonconformity.

Create an Approval Record That Bulk Production Can Use

An informal message saying “sample is okay” leaves too much open. The approval record should connect the physical unit to the written specification and identify allowed differences. It should state whether OEM artwork, retail packing and labels are final or still pending. A retained golden sample can support bulk inspection, but it should not replace written technical and packing requirements.
