Before mass production, the buyer and factory should approve one clearly identified fan sample or signed specification set. The approval must cover model code, rated voltage, plug, structure, color, accessories, label, manual and packing. Production should not rely on chat photos or an unnumbered sample that cannot be traced later.
Define What the Sample Is Supposed to Prove
A market sample may be used to judge appearance, local shelf position or dealer feedback. A production approval sample has a stricter job: it confirms the version the factory is expected to reproduce. State which purpose applies before requesting changes.
If the buyer is still comparing models, do not call the latest sample final. Keep evaluation comments separate from approved production requirements so an early preference is not mistaken for a released order instruction.
Lock the Electrical Market Version
Confirm rated voltage, frequency, plug type, cord requirement and label content for the destination market. Rechargeable or solar fan versions also need agreed charging accessories and configuration. A correct outer appearance cannot compensate for a wrong electrical version.
Certification and compliance documents depend on the selected model and target market. Buyers should identify the required documents before order release rather than assume every model carries every certificate.
Approve Structure, Finish and Accessories
Record fan size, base and stand structure, guard, blade, control format, color and supplied accessories. Use model codes and dated images. General descriptions such as 'same as sample' are weak when several samples have been exchanged.
Any requested material or component change should be reviewed for function, appearance, cost and lead time. The approved version should show whether the change is mandatory or only a future option.
Connect the Sample to Packing
Approve product label, rating label, manual language, polybag protection, color box artwork, master carton, carton mark and accessory placement. Packing is part of the delivered product and must not be treated as an afterthought.
Check that the model code on the product, manual, color box, carton and packing list follows one naming system. This reduces receiving mistakes and supports after-sales traceability.
Create an Approval Record
Use a signed specification, approved artwork file, sample photos and an approval date. If a physical reference sample is retained, identify who holds it and how it is marked. Both sides should be able to retrieve the same reference during inspection.
After approval, new changes require a written revision. Do not overwrite the old record without a version trail, especially when the order contains multiple plugs, colors or packing variants.
Move from Approval to Production
The factory can schedule material purchasing and production after the commercial order and technical details are released. Sample approval alone does not reserve capacity or confirm a shipment date.
For a seasonal fan order, the approval deadline should support the required warehouse-ready date. Late artwork or plug decisions can consume the buffer planned for production and transport.
