Keep One Product Identity Across Every File

The quotation, sample, specification, rating label, color box, manual, packing list and inspection record should all refer to the same model and version. If a product name or model code changes between files, the importer should stop and reconcile the difference before approval. A similar photo is not evidence that two products share the same electrical or compliance basis.

Record the exact current sample proposed for the project. The sample review should cover appearance, controls, accessories, rating label and packing arrangement. If the buyer requests a change after sample approval, update the specification and determine whether a revised sample is required.

Create a Document Responsibility Matrix

Before the order, list every required commercial, technical, compliance and shipping document. For each item, record who supplies it, who reviews it, which model it covers, the required format and the approval deadline. This prevents a missing document from being discovered only after production or vessel booking.

The buyer and customs broker should identify destination requirements. The factory can review document availability for the selected model, but it should not promise that every catalog model carries every certificate. A document must be checked for model scope and relevance rather than accepted because its title contains a familiar product category.

Confirm the Electrical Version and Rating Label Together

The importer should state the required plug, voltage and frequency and confirm them with the selected model. The sample, power cord, plug, rating label and signed specification must describe one consistent version. Never approve an electrical configuration only from a catalog image or a country-page template.

Rating-label data should be reviewed before printing. Model name, electrical values, responsible company details and any buyer-required marks must follow the approved project basis. If the document scope and label identity do not align, the discrepancy must be resolved before production release.

Control Arabic, English and Other Required Text

If the Egypt project requires Arabic, English or another language on manuals, labels or packaging, define the exact language set in the artwork brief. The buyer should approve translations, importer information, warnings, barcode data and other market text. The factory should not invent legal wording or decide the destination-language obligation without buyer confirmation.

Broker review does not replace importer responsibility, but early feedback can expose inconsistent names, missing fields or document-scope problems while they are still correctable.

Keep drafts clearly marked. Final shipping documents should be created from the approved order data, not an obsolete quotation or sample file. The importer should also verify whether originals, copies, electronic files or other formats are needed for the actual shipment.

Compare Quotation and Landed-Cost Boundaries

A private quotation should state the model, quantity, packing basis, trade term, named location, currency, validity and exclusions. EXW and FOB at an agreed China loading port do not include the same responsibilities. A destination-based freight offer should identify the actual destination and current validity period.

Egypt buyers should calculate product value, OEM and packing charges where applicable, origin handling, freight, insurance when included, destination charges, duties, taxes, storage, inland delivery, financing and after-sales reserve. Factory price alone cannot show the stock's final wholesale cost.

Inspect the Product and the Documents as One Order

Pre-shipment inspection should compare finished goods with the approved sample, specification and artwork. The scope can include model identity, quantity, appearance, function checks, accessories, electrical labels, manuals, color boxes, master cartons and shipping marks according to the agreed plan.

Document control should be part of release. Confirm that the final files refer to the same product and order inspected. Inspection cannot prove destination compliance by itself, but it helps detect physical and documentary mismatches before the shipment is released.

Archive the Import File for Claims and Repeat Orders

Keep the signed specification, approved sample reference, artwork register, final documents, inspection evidence, loading records and receiving report under one purchase-order file. This archive supports customs questions, dealer claims, corrective action and future model comparison.

When the buyer places a repeat order, state whether it follows the previous version or introduces changes. Reusing a model name does not automatically approve a new component, label, manual or packing file. Controlled revisions protect both importer and supplier from silent version drift.
