A Proforma Invoice Is an Order Control Document
A proforma invoice, often called a PI, is more than a request for payment. It should connect the buyer and seller, the exact product scope, quantity, currency, trade term, packing basis, payment milestone and bank instruction. If these elements are incomplete or inconsistent, the finance team may pay the correct account for the wrong order, or the correct order under the wrong commercial boundary.
The PI should be reviewed after the buyer has defined the RFQ and product route. It does not replace a technical annex, approved sample, artwork register, inspection agreement or purchase contract. Instead, it should point to the same commercial and product version used by those documents.

Contracting Company, Exporter and Beneficiary May Be Different
A name difference is not automatically proof of fraud, but it is a reason to stop and understand the transaction structure. Some supply arrangements use a factory, an export entity, an invoicing entity or an approved collection company in different roles. The buyer should not guess why the names differ.
Ask the supplier to state the role of each entity and provide appropriate supporting information. The purchase order, invoice, shipping documents and payment record should tell a coherent story. If the beneficiary is unrelated, unexplained, personal or introduced only at the last moment, finance should not release funds until the relationship and authorization are independently verified.
Verify Bank Instructions Through a Separate Channel
Start from the approved supplier record
Use the company and contact information verified during supplier onboarding, not contact details supplied only in the latest payment email.
Compare the entire beneficiary instruction
Check the beneficiary name, account number, bank, branch or address, SWIFT code, currency and any intermediary-bank field.
Confirm through a known contact route
Use a previously verified phone, video meeting, official-domain contact or other approved channel. Do not rely only on replying to the message that introduced the details.
Record who confirmed what
Keep the date, contact, document revision and confirmation result in the order file so another finance colleague can reproduce the decision.
Treat Every Bank-Detail Change as a New Verification Event
A changed account is one of the highest-risk moments in an international order. The change may be legitimate, but the buyer should assume that the old verification no longer applies. Confirm why the account changed, when the new instruction becomes effective and which orders it covers. Compare the sender domain and reply-to address carefully, especially when the message creates urgency or discourages direct confirmation.
Do not let a production deadline force finance to skip verification. A short payment hold is usually easier to manage than recovering an international transfer sent under a false or misunderstood instruction.
Payment Red Flags That Require a Pause
Unexpected urgency
A new bank account appears immediately before a deposit or balance deadline and the sender pressures the buyer to pay without independent confirmation.
Unexplained beneficiary
The beneficiary name does not match the known commercial structure and the supplier cannot provide a clear written explanation.
Identity or domain change
The instruction arrives from a new, misspelled or free email address, or the reply-to address differs from the visible sender.
Order version mismatch
The payable quantity, model, packing, currency, trade term or total differs from the approved quotation, PO or sample direction.
Unusual payment route
The buyer is asked to pay a personal account, cryptocurrency address or unrelated party without a verified contractual basis.
Missing control trail
No one can identify who issued the current PI, which revision is approved or which buyer and supplier contacts authorized the payment instruction.
Connect Each Payment to a Commercial Milestone
The payment schedule depends on the actual supplier, model, order size, customization, production route and negotiated agreement. There is no universal deposit or balance structure that is appropriate for every order. What matters is that each payment is attached to a defined event and evidence set.
Before an initial production payment, confirm the order version, sample or specification status, OEM file status, estimated production basis and agreed change authority. Before a later payment, confirm the production or inspection evidence required by the agreement, the amount already paid, the remaining balance and the document or shipment release process.

After transfer, send payment evidence through the approved contact channel and ask the supplier to reconcile the amount, currency, invoice number and order. Do not publish bank details in public messages or send sensitive payment documents through an unverified contact.
