Does accepting an inspection discount authorize shipment?
No. A supplier's price allowance does not resolve an inspection finding or authorize shipment by itself. The importer must review the evidence against the approved requirement, decide the disposition of the identified goods through authorized contacts, and issue the required release only after its conditions are met.
Start with the requirement and the inspected evidence
Locate the requirement that the goods did not meet: specification revision, approved artwork, agreed acceptance criterion or identified golden sample. Record the observed difference and the report reference. If two approved references conflict, resolve that conflict before deciding whether the goods depart from the order.
Identify the exact air fryer SKU, electrical and packing versions, purchase order, production lot, cartons presented and inspected units. Keep the sample size, observed findings and proposed affected quantity as separate fields. A finding in a sample does not establish that every unit is affected, nor does an uninspected unit become acceptable by assumption.
Where the affected scope is uncertain, ask the responsible quality party to define the further investigation or sorting needed. Use the agreed sampling plan and air fryer inspection procedure for the lot decision. Keep the original report intact; later evidence belongs in a traceable follow-up.
Separate correction, a one-batch deviation and a permanent change
A discount discussion should identify which operational route is proposed. Each option needs its own approval record:
- Correction and verification. The supplier proposes restoring the goods to the approved requirement. Record the method, affected scope, responsible party and agreed reinspection or verification. Completion of work alone does not establish that the original finding is closed.
- A specifically permitted one-batch deviation. Authorized reviewers may accept a precisely described difference for identified goods where the contract, customer commitments and applicable requirements permit it. Record its limits and conditions. This does not change the approved standard for other lots.
- A permanent specification change. A proposal to use a different requirement in future needs separate technical, market and commercial review through change approval and traceability. It cannot silently reclassify the current inspection result.
Hold, further review or rejection may remain appropriate. A price allowance cannot waive legal, safety or mandatory target-market requirements. Certification documents depend on the product model and target market; a commercial concession does not establish that the inspected configuration is covered.
Example: a visible finish difference after inspection
Hypothetical example: an inspection records a visible gloss difference on an air fryer's outer housing compared with the approved finish reference. The supplier proposes a price allowance for the presented lot. This is an invented decision scenario, not a reported Yaoyuan defect or an offered remedy.
The importer first asks whether the finding is limited to appearance or indicates an unapproved material or process change. Photographs alone do not settle that question. The relevant quality and technical contacts review the evidence, the agreed viewing conditions and the product identity. Any unresolved effect on function, safety or market requirements remains open.
If the difference is established as an appearance-only issue that can permissibly be accepted, the importer still checks the intended customer's specification and sales presentation. Acceptance could require that customer's agreement or another documented condition. If the appearance is essential to the order, the buyer may instead require correction or another contractual resolution.
The commercial team can discuss an allowance in parallel. Its amount cannot answer whether the product is suitable for the channel. This differs from negotiating the original factory quotation: finished goods now need a decision against an existing approved reference.
Make the decision narrow enough to execute
Use one reference that quality, purchasing and logistics can all find. Complete the fields below before treating a deviation as approved; unanswered reviews should remain explicitly open.
| Record field | What to identify |
|---|---|
| Requirement and reference | The approved criterion, specification revision and applicable sample or artwork reference. |
| Finding and evidence | The observed difference, original inspection result, report reference, sample identity and supporting records. |
| Bounded scope | PO, exact SKU and revision, lot, carton identifiers and authorized quantity; distinguish sampled findings from verified affected quantity. |
| Unresolved reviews | Open technical, safety, market, customer or quantity questions, their owners and the evidence required. |
| Decision and conditions | Hold, correction, permitted deviation or rejection; applicable conditions and how completion will be verified. |
| Authorized approval | Named approver, role, decision date and authority for this scope; record any additional required approvals. |
| Release reference | The separate shipment-release record, released scope and evidence that its conditions were met. |
| No automatic carryforward | The exact boundary of this decision. Future orders retain the approved standard unless a separate change is approved. |
If only part of a lot is released, identify the held and released goods so warehouse staff can distinguish them. An approval message saying “discount accepted” supplies none of these controls on its own.
Document the allowance without rewriting the inspection
Keep the negotiated commercial agreement linked to the decision record. Identify the parties, order, agreed adjustment basis, currency, applicable quantity, conditions and authorized execution route. Record whether it resolves only the named issue or has a wider agreed scope. A requested allowance is not an agreed entitlement.
Preserve the original inspection result and attach the subsequent disposition. Do not convert a failed criterion into a pass merely because the price changed. Finance should follow the agreed document process; avoid unilateral deductions from an outstanding balance. The claim settlement guide explains the separate agreement, accounting and execution records when a financial adjustment is required.
Give logistics a release instruction it can follow
Before shipment, the authorized release owner checks that the stated conditions are closed and issues the release for the identified goods. Connect it to the current order handover file. Logistics needs the released SKU, lot and quantity, plus any remaining holds, rather than an informal forwarded price discussion.
Keep the finding available for repeat-order review. A one-batch acceptance should lead to a clear next-order instruction: retain the original standard, verify a correction, or review a separately proposed change. It should never become an undocumented new tolerance.
Define the inspection basis before ordering
For a private quotation, send product model, quantity, country, plug type, voltage, packing request, OEM request and destination port. Add your inspection reference and approval responsibilities where available.
